How to Use AI to Answer Customer Emails (Free Prompts)

How to Use AI to Answer Customer Emails (Free Prompts)

When I reach out to creators for VIXA, the replies come back with questions. How does pay work? Which platforms count? When do we start? Good questions, all of them. And most of them are the same few questions, asked in a hundred different ways.

So here is how to use AI to answer customer emails, in short: write your real answers down once, give them to AI with a few examples of how you talk, and let it draft every reply for you. You read it, fix 1 line if needed, and hit send. AI does the typing. You stay the boss of what gets said.

I run 3 companies with AI, and my inbox is where it saves me the most time. Here is the exact system I would hand any founder who is drowning in email.

Why fast email replies matter more than you think

Speed sells. HubSpot research found that 82% of consumers want an immediate response when they ask a brand a sales or marketing question.

Here is the part most people miss: a slow reply does not just feel rude. It quietly costs you the sale. The customer who waited 2 days already bought from someone else, or forgot why they asked.

Big companies solve this with support teams. Small businesses solve it with you, at 11 PM, typing the same answer for the fifth time. AI changes that math. You get big company speed without hiring a big company team.

How to use AI to answer customer emails in 5 steps

!The 5 step AI inbox system: sort your emails, build 1 answer bank, let AI draft, check every reply, then save the winners. About 1 hour to set up once.

Step 1: Sort your emails into 5 buckets

Before AI can help, you need to know what is actually landing in your inbox. Open your last 30 emails from customers and sort them. For most businesses, they fall into about 5 buckets:

  • Questions about price, shipping, timing or how it works
  • Problems like a late order, a bug or a wrong item
  • Requests for a refund, a change or a custom order
  • Partnerships from creators, brands or press
  • Praise from happy customers (yes, these need a reply too)

You can even let AI do the sorting. Paste in a batch of emails with your personal details removed and ask it to group them. You will be surprised how few truly different questions you get.

Step 2: Build 1 answer bank (the secret weapon)

This is the step that makes everything else work. An answer bank is 1 document with your real answers to your most common questions. Your prices. Your policies. Your timelines. Your links.

Without it, AI guesses. With it, AI answers like your best employee who has been with you for years.

Here is a prompt to build yours fast:

You are helping me build an answer bank for my business emails.
Here are my last 30 customer emails: [paste emails, with names and personal details removed]
1. Group them into the most common questions.
2. For each question, write the question in 1 line.
3. Leave a blank under each one that says "MY ANSWER:" so I can fill in the real facts.
Do not make up any prices, policies or dates. I will add those myself.

Fill in every blank with the truth. This takes about 30 minutes, and you only do it once. Update it when something changes, like a new price or a new shipping time.

Step 3: Teach AI your voice

Most AI emails sound like AI emails. Stiff. Overly polite. Full of "I hope this message finds you well." Your customers can tell.

Fix it by showing AI how you actually write. Pick 3 replies you sent that you love, and save them right inside your answer bank. Then use this prompt every time:

You are my email assistant. Use my answer bank below as the only source of facts.
Write replies in my voice. Here are 3 real replies I sent, so you can match my tone: [paste 3 of your emails]
Rules:
- Short and warm. No more than 5 sentences unless the question needs more.
- Answer the question in the first sentence.
- Never promise anything that is not in my answer bank.
- If you are not sure, write [CHECK THIS] instead of guessing.
Answer bank: [paste your answer bank]

That last rule is the one that protects you. AI is helpful, but it can sound confident and still be wrong. The [CHECK THIS] tag shows you exactly where to look. I wrote a whole guide on how to use AI without sounding like AI if you want to go deeper on voice.

Step 4: Let AI draft, then you check every reply

Now the daily part is easy. When an email comes in, paste it into your chat and ask:

Draft a reply to this customer email using my answer bank and my voice.
Then tell me in 1 line if anything in your reply needs me to check a fact.
Email: [paste the customer's email]

Read the draft. Fix anything that feels off. Send. Most replies take under a minute this way.

My rule: AI drafts, a human sends. I never let AI send money promises, refunds, legal answers or anything about a person's private situation without reading it first. A quick check keeps your reputation safe.

Step 5: Save the winners and keep improving

Every time you write a reply you love, add it to your answer bank. Every time a new question shows up 3 times, add it too.

After a month, your answer bank becomes the most valuable document in your business. It is your customer service training manual, your future hire's first day reading, and your AI's brain, all in 1 place.

Which emails should you never let AI answer alone?

AI is a great first drafter. It is not a great final decision maker. Always write or carefully review these yourself:

| Email type | AI can help? | Who decides | |---|---|---| | Common questions | Yes, draft and send after a quick read | You, in 30 seconds | | Order problems | Yes, draft a calm reply | You check the facts | | Refunds and money | Draft only | You, every time | | Angry customers | Draft only, then soften it | You, every time | | Legal or medical questions | No | A professional | | Partnerships and press | Yes, draft a first reply | You decide the deal |

1 important privacy note: before you paste a customer email into any AI tool, remove details you do not need, like phone numbers, home addresses and order numbers. The AI needs the question, not the person's private info. Check your AI tool's privacy settings too, so you know how your chats are stored.

The tools I use to run my inbox with AI

You do not need fancy software to start. Here is what I actually use:

  • Claude: my favorite for writing in my voice. Put your answer bank inside a Claude project, so every chat already knows your business.
  • ChatGPT: works the same way. Save your answer bank in a project or in your custom instructions.
  • Your email's built-in templates: Gmail has a free Templates feature in its settings. Save your top 5 AI-polished answers there for 1 click replies.
  • Monday.com: I track my creator conversations on boards, so no reply slips through the cracks.

If you want the bigger picture of how I set this kind of system up, read how to create an AI agent with Claude to run your business. The answer bank in this post is the first building block of an agent like that.

A simple daily routine for an AI-powered inbox

Here is the whole system, start to finish:

  1. Once, about 1 hour: sort your emails, build your answer bank, add 3 voice examples.
  2. Every morning, 15 minutes: paste each new email, get a draft, check it, send.
  3. Every Friday, 5 minutes: add new questions and your best replies to the answer bank.

That is it. No new software. No support team. Just a smarter way to say what you already know.

Start with your next 5 emails

Do not try to rebuild your whole inbox tonight. Take the next 5 customer emails you get and run them through the prompt in Step 4. Notice how much time you save. Then build the full answer bank this weekend.

FAQ

Can AI answer customer emails automatically? Yes, some tools can send replies on their own. For a small business, I recommend letting AI draft and having a human send. You keep the speed and avoid the embarrassing mistakes.

Is it safe to paste customer emails into ChatGPT or Claude? Remove personal details first, like phone numbers, addresses and order numbers. Then check your AI tool's privacy and data settings so you know how your chats are stored and used.

Will customers know my email was written by AI? Not if you give AI your answer bank and 3 real examples of your writing, and you read every reply before it goes out. The words sound like you because they are built from you.

Before you go

What is the 1 question your customers ask you over and over? Tell me in the comments. I read every single one.

"Your time is your most valuable asset. Spend it on the work only you can do."
